eBay Seller Hub Reports: How to Download, Schedule and Upload (2026)

eBay Seller Hub Reports: How to Download, Schedule and Upload (2026)

You open Seller Hub on a Monday with 600 live listings, a supplier price list that changed over the weekend and a vague sense that half your catalog has not sold since summer. The answer to most of those questions sits in one tab. eBay Seller Hub Reports is where you download listing and order files, schedule them to arrive on their own, and upload spreadsheets that change hundreds of listings at once. This guide maps each report to the dropshipping job it actually does.

Quick answer: eBay Seller Hub Reports lives under the Reports tab of Seller Hub. Use Download to pull listings or orders for a 1 to 90 day range, Schedule to repeat a report hourly, daily, weekly or monthly, and Upload to send an .xlsx or .csv template that creates, revises, relists or ends listings in bulk.

  • The Reports tab has three sections: Download, Schedule and Upload.
  • Listing downloads include All active, Unsold and Awaiting response; order downloads include All orders and Awaiting shipment.
  • Uploads accept .xlsx and .csv files and usually process in under 15 minutes.
  • Reports replaced File Exchange, and old File Exchange templates and schedules did not carry over.

If you are new to the wider dashboard, our tour of every Seller Hub tab covers Orders, Listings, Performance and Payments. This page stays inside Reports and goes further than that overview.

What eBay Seller Hub Reports is and who can use it

Reports is the bulk data tool inside Seller Hub. eBay describes it as the place to create listings in bulk, upload, download and schedule reports, fulfill orders and find and fix listing errors in bulk (eBay Help: Seller Hub Reports). Access follows Seller Hub itself. Business sellers are opted in automatically, and a private seller gets access after making at least one sale.

The tool took over from File Exchange, eBay's older spreadsheet uploader, which eBay has since retired. One detail still catches long-time sellers out. eBay's own guide notes that templates and scheduled reports created in File Exchange were not carried over to Reports (eBay: How to use Seller Hub Reports). If you still keep a folder of old File Exchange sheets, rebuild them from a fresh Reports template before you upload anything.

For a dropshipper, Reports matters because almost every decision about a large catalog starts as a spreadsheet: which listings to end, which prices to raise, which orders still need tracking. The tab is free, it ships with every account that has Seller Hub, and it pairs well with the browser tools covered in our roundup of eBay seller tools. Ecomli, a non-API browser extension for eBay dropshippers that works through the eBay seller account already signed in to your desktop Chrome browser, builds several of its features on these same reports, and we come back to that below.

How to download eBay Seller Hub Reports, step by step

  1. Open Seller Hub and select the Reports tab.
  2. Choose Download, then pick a source such as Listings, Orders or Marketing.
  3. Select the report type, for example All active or Awaiting shipment.
  4. Set a date range between 1 and 90 days where the report asks for one.
  5. Generate the file and collect it from the recent downloads list once it is ready.

The recent downloads list keeps earlier files, so you can grab last week's export again without rebuilding it. Open the file in a spreadsheet app and freeze the header row before you sort anything; the item number column is the key that ties every later step back to eBay.

Which report answers which dropshipping question

The table below is the part most guides skip. It pairs each download with the weekly job it supports in a dropshipping store.

ReportWhat it containsDropshipping job it supports
Listings: All activeEvery live listing with item number, title, price, quantity and custom label (SKU)Catalog audits, price checks against supplier costs, moving listings into a new tool
Listings: UnsoldListings that ended without a saleDeciding what to relist with a new title and what to drop
Listings: Awaiting responseListings with buyer actions waiting on youClearing offers and questions before they expire
Orders: Awaiting shipmentPaid orders that still need trackingDaily check that every supplier order has a tracking number on eBay
Orders: All ordersOrder lines for the chosen date rangeMonthly profit records and refund review
MarketingPromoted Listings campaign data, by campaign typeChecking ad spend against margin on each listing

Read the table as a routine. The All active file answers "what am I selling", Awaiting shipment answers "what do I owe buyers today", and the marketing file shows where promotion fees are eating margin.

How to schedule reports and upload changes in bulk

Schedule a report so it arrives on its own

Under Schedule, pick a report and a frequency of hourly, daily, weekly or monthly. eBay's example is a scheduled order fulfillment report that updates shipping details automatically. A sensible starting point for a store with a few hundred listings is a weekly All active report every Monday and a daily Awaiting shipment report each morning, which keeps your Monday audit and your tracking check on the same files every time.

Upload a template to change many listings at once

Under Upload, download the template that matches your task, fill it in and send it back as .xlsx or .csv. Templates cover adding, revising, relisting and ending listings, plus order and feedback tasks. eBay says most files finish in less than 15 minutes, with very large files taking longer. Check the upload results file afterward, because rows with errors are reported back rather than applied.

Two habits save rework. Start every revision from a fresh All active download so your item numbers and prices are current, and change only the columns you mean to change. If most of your revision sheets are supplier price changes, that is the job Ecomli takes over in the routine below. Our guide to editing eBay listings in bulk covers which fields are locked once a listing has sales, and the bulk listing walkthrough explains the create template column by column.

A weekly report routine for eBay dropshippers

Reports gives you the raw files. The work is in what you do with them each week, and that is where the effort piles up once a store passes a few hundred listings. Because Ecomli runs in your own browser session, there is no API connection to authorize, and the features below pick up from the same Seller Hub data you would otherwise sort by hand.

Monday: clear listings that are not selling

By hand, you would download All active and Unsold, sort by views and sales and end the dead weight one batch at a time. Our diagnostic for listings with no views explains what to check before ending anything. Ecomli's Auto Pruner runs that review in one click from fresh Seller Hub reports: you set the rule, such as zero views or zero sales over 30, 45 or 60 days, a minimum listing age and a removal limit, and listings with recent sales or an unknown age stay protected. Basic Auto Pruner comes with Pro; on Scale, Advanced Auto Pruner can relist removed products with fresh supplier data and a new AI title and description, under new eBay item numbers.

Midweek: line prices and quantity up with suppliers

A spreadsheet revision fixes prices once, then supplier costs move again. Stock Monitoring checks Amazon and AliExpress stock and prices for your Ecomli listings and updates eBay price and quantity, or ends out-of-stock items, using your markup and out-of-stock rules. If a supplier page cannot be read, the listing is held unchanged instead of being ended. The out-of-stock control guide covers when to set quantity to zero and when to end.

Month end: reconcile orders and profit

The All orders download and the earnings data under Payments tell you what eBay paid out, as our eBay payouts explainer describes, but not what each order cost you at the supplier. The Ecomli Overview dashboard brings eBay sales, fees, Promoted Listings costs, refunds and supplier costs into one profit view. It syncs the last 90 days of orders, and you can import older eBay CSV reports for earlier months. Profit is only as complete as the supplier costs recorded, so keep those up to date.

When you switch tools: the All active file is your migration file

If you are moving from another lister, the All active download is the file Ecomli's Migration reads. Choose the eBay Active Listings source and upload the CSV. Each row needs the eBay item number, and Ecomli reads the supplier from the custom label (an ASIN, an AMZ_ ASIN label or an AliExpress product ID) or from a supplier URL column. Rows it cannot read are held for review so you can add the Amazon or AliExpress link, and your listings stay live on eBay throughout. Migration maps listings to suppliers for monitoring; it does not restyle existing listing designs. See how the plans compare on the pricing page.

Frequently asked questions

How do I get my eBay sales report?

Open Seller Hub, go to Reports, choose Download and select Orders with the date range you need, up to 90 days per file. For payout and fee detail, use the earnings and transaction reports under the Payments tab.

Who can use Seller Hub Reports?

Anyone with Seller Hub access. Business sellers are opted in automatically, and private sellers gain access after their first sale.

Did my File Exchange templates carry over to Reports?

No. eBay states that templates and scheduled reports built in File Exchange were not moved across. Download a current template from the Upload section and copy your data into it.

How often can a scheduled report run?

Hourly, daily, weekly or monthly. Most dropshippers do well with a daily orders report and a weekly active listings report.

Can Seller Hub Reports replace a dropshipping tool?

Reports handles bulk files well, but it does not watch supplier prices, place supplier orders or convert supplier tracking. Those jobs need a tool connected to your suppliers, which is where features like Stock Monitoring and Auto Pruner pick up from the files you already download.

If the Monday cleanup and the midweek price checks are the jobs eating your week, Auto Pruner and Stock Monitoring are the two Ecomli features this guide leaned on, and both work from the same eBay data you would otherwise sort by hand.
