An eBay profit and loss statement is a one-page monthly summary of what your store sold, what it cost to run, and what you kept. What goes on an eBay profit and loss statement
Keep the format boring. Accountants read a P&L top to bottom, revenue first and net profit last, and your own statement should follow the same order so you can compare months at a glance. For a marketplace store, eight lines cover almost everything.

Sales tax that eBay collects and remits for you is left out of gross sales. It passes through eBay and never belongs to you, so including it inflates revenue and makes your margin look worse than it is.
Two lines decide whether the statement is useful. Cost of goods sold is the one the marketplace cannot see, and operating costs are the ones sellers forget. A store that looks healthy on the marketplace's own numbers can lose money once a $99 software plan and a part-time VA are added back in.
Where each number comes from in Seller Hub
Every marketplace line on your statement maps to a document in the Payments tab of Seller Hub. Pull them in the first week of the month, after the previous month has closed.
- Earnings report (CSV). In Seller Hub, go to Payments, select Earnings, choose the order creation dates and generate the CSV. It lists every order with gross amount, expenses, refunds and order earnings. The Earnings report help page explains each column.
- Transaction report (CSV). Under Payments, select Reports and create a transaction report for the month. Its columns split final value fees from other fees (subscription, listing upgrades and ad fees), which is how you separate advertising from selling fees.
- Financial statement (PDF). You get an email at the start of each month when it is ready. It summarizes orders, claims, refunds, payouts, fees and credits for the month, and it stays available for ten years, according to the guide to reconciling sales transactions.
- Your supplier order history. Amazon and AliExpress order exports give you cost of goods sold. Match each supplier order to the sale it fulfilled.
- Bank and card statements. These catch operating costs that live outside the marketplace.
Watch the dates. The Earnings report filters by order creation date, while payouts follow their own schedule, which our guide to how payouts work walks through. Pick one basis for the month (order date is simplest) and stick with it, or the same order will land in two different months.

A worked month for a dropshipping store
Here is an illustrative month for a small store that sources from Amazon and AliExpress. The figures are examples to show the layout, not typical results.

Read it from the bottom up. A 20.7% net margin sounds fine, but cost of goods sold is 57.7% of sales, so a supplier price rise of a few percent across the catalog takes a large bite out of the $2,561. Refunds are the line to watch on a dropshipping store. Most of them trace back to two causes: the supplier ran out after the sale, or tracking reached the buyer too late. Both show up as money lost, plus the time spent sorting them out.

Reconcile before you trust the bottom line
A P&L built from three exports will be wrong somewhere the first time. Run these checks before you act on the net profit figure:
- Order count. The number of orders in your Earnings report should equal the number of matched supplier orders. A gap means a missing cost or an order you fulfilled by hand.
- Gross sales. The Earnings report total for the month should agree with the sales summary on the monthly financial statement, give or take orders that crossed the month boundary.
- Fees and ads. Fee totals in the transaction report should match the fees section of the financial statement.
- Cash. Payouts received plus funds still on hold or processing should explain the difference between order earnings and what reached your bank.
- Cost per order. Spot-check five orders. Supplier cost should sit between your purchase price and your price plus supplier shipping.
You can also type your item cost into the Earnings page (Payments, then Earnings, then Add under your cost). Once costs are entered, the report shows net order earnings for each order, which turns the reconciliation into a filter and a sum. eBay recommends checking reconciliations with a financial advisor, and for tax questions you should consult a professional.
What to do when a line moves on your eBay profit and loss statement
The point of a monthly eBay profit and loss statement is the second month, when you can compare. Each line that moves has a usual cause and a usual fix.
- Cost of goods sold rises faster than sales. Supplier prices drifted up while your eBay prices stayed put. Pricing rules that follow supplier cost, as our guide to configuring an eBay repricer to defend margin explains, stop the drift from compounding.
- Refunds climb. Look at reasons. Out-of-stock cancellations point at stock checks, while "item not received" cases point at tracking and handling time.
- Advertising grows but sales do not. Cut ad rates on listings whose sales would happen anyway and keep spend on the ones that need the visibility.
- Net margin falls while every eBay line looks normal. Check operating costs. New software, extra VA hours and card fees hide outside the marketplace.

Not a complete one. eBay provides a monthly financial statement, a transaction report and an Earnings report, which together cover sales, fees, refunds and payouts.
