eBay Defect Rate: What Counts and How Dropshippers Keep It Low

eBay Defect Rate: What Counts and How Dropshippers Keep It Low

The minimum standards for every seller on the marketplace name two numbers, and your transaction defect rate is one of them. For dropshippers, many defects start at the supplier: a product sells out after the sale, or tracking never reaches the order. This guide covers what counts, how the rate is worked out, and how to keep it low. Ecomli, the non-API browser extension for eBay dropshippers that publishes this guide, automates the supplier side of that work.

Quick answer: eBay's transaction defect rate is the share of your transactions that had a defect: an unexpected seller cancellation, such as for an out-of-stock item, or a buyer issue you didn't resolve before eBay stepped in and found you responsible. Every seller must stay at or under 2%. Keep listings in step with supplier stock, get tracking onto every order and resolve buyer requests early. Ecomli, our own tool, covers the stock side with Stock Monitoring.

What is transaction defect rate on eBay?

The transaction defect rate is the percentage of your transactions, within your evaluation period, that had a defect. The seller standards policy names two kinds: the seller cancels the order unexpectedly, or the buyer reports an issue the seller doesn't resolve. The minimum for every seller is no more than 2% of transactions.

This rate feeds your seller level. Each month eBay checks your recent sales for poor buyer experiences, then assigns one of three levels:

  • Top Rated: you're exceeding expectations, with an established sales history. It's the only level shown on your feedback profile.
  • Above Standard: you're meeting expectations.
  • Below Standard: you've fallen below the minimum, and eBay may limit your selling activity until performance improves.

Three metrics are calculated at each evaluation: cases closed without seller resolution, transaction defect rate and late shipment rate. Our guide to every number on the seller dashboard covers all three. This post stays on defects.

The minimums eBay publishes

MetricMinimum for every seller
Transaction defect rateNo more than 2% of transactions
Cases closed without seller resolutionNo more than 2, or 0.3% of transactions, whichever is higher

These apply to US listings. Thresholds may differ on other regional sites or for international buyers. The Top Rated bar is stricter, as our guide to becoming a Top Rated seller explains.

How eBay calculates your defect rate

eBay evaluates sellers on the 20th of each month. How far back it looks, the evaluation period, depends on your recent volume:

  • Fewer than 400 sales transactions in the previous 3 months: all your transactions from the last 12 months count.
  • 400 or more sales transactions in the previous 3 months: all transactions from those 3 months count.

The rate is defects divided by transactions in that window. It also considers how many unique buyers the defects involve, so one or two buyers can't skew your evaluation on their own.

Hypothetical example: 300 transactions in an evaluation period with 4 bad transactions gives a 1.33% rate. With 7 in the same window, the rate would be 2.33%, over the 2% line on the rate alone.

Where to check it

In Seller Hub, open the Performance tab and choose Seller level. The dashboard shows your current level, the level you'd get if eBay evaluated you today, and a breakdown of each factor, so you can act before the 20th.

What counts as a defect on eBay

The seller standards policy counts a transaction against you when either of two things happens:

  1. The seller cancels the order unexpectedly. The policy's examples are canceling because the item was out of stock, or because it was sold to someone else.
  2. The buyer reports an issue and the seller doesn't resolve it. This is a case closed without seller resolution: the buyer reported an item hadn't arrived or asked for a return, the seller didn't resolve it, eBay stepped in, and the seller was found responsible.

A case closed without seller resolution sits beside the 2% rate on the seller-levels dashboard. Watch both. The official advice follows the same two lines: if your current or projected level has dropped to Below Standard, focus on minimizing cases closed without seller resolution and order cancellations.

Resolve buyer requests before they become cases. Work from the case numbers in Seller Hub rather than guessing. Late shipments have their own metric, covered in our late shipment rate guide. And not every cancellation is unexpected: our cancellation rate guide explains which cancel reasons count against you.

Why dropshippers trip the eBay defect rate

Each cause below starts at the supplier or the buyer, and each has a practical fix.

Supplier stock-outs

An AliExpress or Amazon product sells out while your eBay listing still shows stock. A buyer orders, there's nothing to buy, and an out-of-stock cancellation is the policy's own example of a defect. Tie listing quantity to supplier stock so a sold-out product stops selling too. Ecomli's Stock Monitoring automates this for your Ecomli listings: when the supplier runs out, it sets quantity to zero or ends the listing, by your rule.

Price jumps that tempt a cancel

When a supplier's price rises above what the buyer paid, canceling can look cheaper than filling the order, but it's still a seller cancellation. Price with a buffer and let price checks move your listed price before the next sale. Our breakdown of eBay dropshipping profit margins helps size that buffer.

Tracking gaps and item-not-received cases

Supplier tracking sometimes can't be followed on eBay, or never reaches the order. A buyer who sees no movement may report the item hasn't arrived, and if that goes unresolved, it can end as a case closed without seller resolution.

Return requests left to drift

When an item doesn't match the listing, or a buyer wants to send it back, the request is yours to resolve. Left until eBay steps in and finds you responsible, it counts against you. Our return policy setup guide covers the settings, and our guide to return scams covers requests that aren't genuine.

How to do this in Ecomli

Ecomli is our product, and it's our pick for eBay dropshippers who source from Amazon and AliExpress and want fewer stock-out cancellations and tracking gaps. It's a non-API browser extension that works through the eBay seller account signed in on desktop Chrome, so there's no API connection to authorize.

  1. Set Stock Monitoring rules. Choose an out-of-stock rule: set quantity to zero or end the listing. Ecomli checks supplier stock and prices for your Ecomli listings and updates eBay price and quantity by your rules. If a supplier page can't be read, the listing is held unchanged instead of ended. Checks run in your browser while Chrome is open.
  2. Set buying limits. Auto Ordering creates your AliExpress supplier orders within the buying limits you set, a maximum purchase price and a maximum loss: start AliExpress order batches on any plan, or switch on hourly AliExpress ordering on Pro and Scale. Starter and Pro order in your browser. Scale can also order from Ecomli's servers. Orders outside your limits need manual handling, so a supplier price jump comes to you. Orders are unpaid by default, so you review and pay in AliExpress.
  3. Turn on Tracking Conversions. With Aquiline, Ecomli converts supported AliExpress tracking and Amazon TBA tracking numbers into eBay-compatible tracking and adds it to the eBay order after its automatic checks, so the buyer can follow the delivery. Aquiline credits are an add-on, and not every parcel converts (how tracking conversion works).
  4. Add Auto Messages rules. Auto Messages sends rule-based buyer messages for purchase and shipping events, so buyers hear from you while a parcel is in transit. Buyers with open issues are skipped, so answer those yourself.
  5. Prune stale listings. Basic Auto Pruner on Pro and Advanced Auto Pruner on Scale end dead listings by your rules for views, sales and listing age, using fresh Seller Hub reports, so fewer forgotten listings drift out of step with suppliers.

Listing stays light as well: pick products, press Start, and Ecomli handles the rest, with Safety Shield and duplicate checks running automatically. See what Ecomli automates, or create your Ecomli account to set it up on your own store.

It suits eBay sellers sourcing from Amazon and AliExpress. It isn't built for other selling channels. No tool prevents every stock-out or buyer case, so keep checking your seller dashboard before the 20th.

eBay defect rate FAQ

How many defects are you allowed on eBay?

Up to 2% of your transactions in the evaluation period. Cases closed without seller resolution have their own cap: 2, or 0.3% of transactions, whichever is higher.

How long do defects stay on your eBay account?

As long as the transaction sits in your evaluation period: 3 months if you had 400 or more sales transactions in the previous 3 months, otherwise 12 months. Older defects drop out as the window moves at each monthly evaluation.

Does a return request count as a defect?

Not on its own. A buyer-reported issue becomes a defect only when the seller doesn't resolve it, eBay steps in and finds the seller responsible. Here's how to keep it that way: resolve the return yourself before it escalates.

How do you fix a high transaction defect rate on eBay?

Stop new defects first. eBay's advice at Below Standard is to minimize cases closed without seller resolution and order cancellations, so sync stock and answer buyer requests early. Ecomli's Stock Monitoring automates the stock side for Ecomli listings, as our guide to out-of-stock control for dropshippers explains. More clean transactions also lower the rate. If a defect looks wrong, start with eBay's section on fair evaluation, seller protections and appeals.

Can buyers see your eBay seller level?

Only if you're Top Rated, which shows on your feedback profile. Otherwise, other eBay members can't see your seller level.
